Mailroom Coordinator


RxBenefits is hiring! Mailroom coordinator will maintain mailroom supply inventories and are responsible for daily mail and packages. They operate mailroom equipment such as postage meters, mail sorting machines, scanners, copiers, faxes, folders, phones and labeling machines. Ensures the timely and accurate reproduction of printed materials. Coordinates and prioritizes production of printing needs. Coordinates the collecting, sorting and delivery of mail and packages. Mail room coordinators use a variety of technological resources to make sure customers receive maximum satisfaction.

Role and Responsibilities:

• Responsible for all incoming and outgoing information and packages for the mail room
• Perform quality checks on materials produced internally and sent for external printing
• Excellent customer service skills
• Work with Implementation and Account Management teams to ensure timely production of client materials
• Be extremely organized and conscientious of flow of materials and people
• Maintain inventory on all mailroom-related items, including giveaways for benefit fairs
• Responsible for the daily distribution of all mail, faxes, and printing to the appropriate departments
• Acts as an internal resource for other departments with their mail and print needs
• Work with couriers, vendors, overnight package services and the USPS to ensure all company-related materials are received and delivered appropriately
• Responsible for ensuring all machinery is always working properly; work with vendors to manage required service / repairs in a timely manner
• Foster a proactive approach to daily tasks and projects
• Be a great team player with internal colleagues
• Assist customer service when necessary as a backup
• Perform receptionist duties when necessary as a backup
• Assist with special projects as needed

Minimum Qualifications and Requirements:

• Minimum 2 years of experience in mailroom setting or equivalent
• Ability to communicate with all levels of management and external partners
• Experience with Salesforce preferred
• Strong experience with Microsoft Office suite (including Word and Excel) and Adobe software
• Thrives in a dynamic, fast paced environment with many simultaneous projects
• Proactive and highly organized
• Strong written and verbal communication skills
• Customer focused
• High energy, with a strong ‘can do’ attitude
