Job Summary: The Accounts Payable Processor will be responsible for assisting the Accounts Payable Specialist with the processing of all invoice requests for payment for both Project Home and Managed Entities.  This includes the sorting and distribution of invoices to the appropriate budget managers, entering requests in the Accounts Payable systems on a timely basis for review and approval, and following up on outstanding approvals.  This position ensures that the proper documentation is provided for the payment of an invoice.


Essential Duties and Responsibilities

  • Assist in the Accounts Payable cycle from invoice entry to check disbursement.
  • Open and sort mail for separate processing for Project HOME and Managed Entities.
  • Manage the Project Home invoice mailbox and check direct emails daily for invoices from programs or vendors.
  • Download monthly statements from certain vendors, review and follow-up on invoice older than 15 days.
  • Scan and enter invoices timely into invoice management/accounting software in order to avoid late fees including, utilities, professional fees and other invoices that do not require a purchase order.
  • Assist in confirming proper approvals of submitted invoices and follow up on incomplete information or missing approvals.  Reject invoices without proper documentation and escalate to Accounts Payable Specialist when necessary if rejection is not addressed.
  • For invoices requiring a purchase order, match the invoice to the purchase order in the accounting software and review for proper approvals and supporting documentation.  Follow-up with appropriate Property Manager for incomplete purchase orders or missing documentation.
  • Assist in monitoring recurring invoices to ensure all are submitted, allocated and approved allowing for timely payment.
  • Adjust, when necessary, coding of invoices in the accounting software.
  • Upon receipt of signed checks, stuff envelopes and mail checks within 1 business day.
  • Assist in maintaining current W-9 forms for all vendors.
  • Provide the year-end audit support, including but not limited to, requests for support of payments and vendor records.
  • Other duties as assigned by the Assistant Controller and the Accounting Manager – Managed Entities.

 

 

Minimum Qualifications

  • High School Diploma or equivalent
  • Computer skills including Excel
  • Good organizational skills and attention to detail
  • Good verbal and written communication skills

 

Preferred Qualifications

  • 2 years of experience in the Accounts Payable field
  • Working knowledge of Accounts Payable cycle
  • Knowledge and prior experience with Blackbaud Financial Edge and Yardi
