Job Summary:

The Operations Support Specialist is an individual contributor role that reports to the Director of Operations. This role is expected to handle a wide variety of activities on a daily and/or periodic basis. Primary functions include tasks and projects that support the overall operations of the business and current related initiatives.  The Operations Support Specialist also provides backup support to certain internal functions, such as shipping or gift card order processing/production, as needed. The ideal candidate presents himself/herself in a professional manner, is an excellent communicator, can manage multiple tasks, is a quick learner and is proficient with Microsoft Office applications. 



  • Creates and maintains general office documents (internal phone list, periodic updates to company forms, participate in drafting new documents/forms to support the business.)
  • Supports the overall custom contract creation process for select sales partners by gathering requested changes from our internal sales team, marking up initial edits for review and approval, and sending finalized request to corporate team to complete
  • Supports the company’s local IRS Informational Returns filing process by receiving and processing customer information updates, additional copy requests, and other related activities by utilizing internal and 3rd party software in performing the tasks
  • Performs a wide variety of ongoing activities to support daily operations and support teams internally, including research requests, preparing reports, managing basic projects 
  • Provides back up support to shipping clerk including but not limited to signing for packages, distributing mail, scheduling FedEx pickups  
  • Provides back up support to Gift & Loyalty team during peak season (may require system task support or card printing production – training provided)
  • Assists in coordination of site wide meetings and events which may including catering orders, booking conference rooms, sending meeting invites, communicating details to participants, managing presentation slides
  • Manage guest/contractor access badges
  • Assist with coordinating of vendors for service and repairs
  • Other business operations & support tasks as assigned

  • Proficient in Microsoft Office including Outlook, Word, PowerPoint & Excel
  • Excellent time management skills and ability to multi-task and prioritize work
  • Team player, personable nature, attention to detail


Education Requirements

  • High school diploma
  • Associates Degree or higher preferred
  • 3+ years Operations Support related experience
